How to Organize Open-Ended Restaurant Survey Comments
Open-ended comments can explain what guests noticed, but reading a large set of comments can take time. A simple grouping routine can help the restaurant find recurring topics without losing context.
Read the comments before labeling them
Review the full response and its surrounding context. Do not assign a category based on one word alone.
Group related comments
Create a small set of practical topics, such as food, service, wait time, or cleanliness. Keep the labels understandable to the people who will use them.
Use more than one topic when needed
A comment may mention both a dish and the time it took to arrive. Multiple labels can preserve that distinction.
Review counts alongside examples
Counts help show which topics recur, while example comments preserve what guests meant. Protect the original comment text when sharing it internally.
Choose a next step
Discuss repeated or urgent concerns with the team, check the situation, and decide whether an operational change is appropriate.
Decide how comments will be summarized before collecting them
More open-text questions create more information but also more work to read. For an everyday survey, use one optional final prompt such as ‘Is there anything you would like to tell us?’ so guests know what the field is for.
Split a comment that covers more than one point
A comment such as ‘The food was good, but it took a long time’ contains both praise and a concern. Do not force it into only one category. Apply the relevant topics while preserving the original meaning.
Review examples as well as category totals
A topic count helps show recurrence, but it does not show the seriousness or detail of each situation. Keep a representative example alongside totals and return to the full response when the team needs context.
